Administrative Assistant, College Counseling

Title: Administrative Assistant, College Counseling
Reports to: Director of College Counseling
Hours: 7:30-4, M-F, Year-round (some evenings and weekends)
Effective Date: 4/19/17


Provide administrative support to the College Counseling Office and assist the Director in a team-oriented, fast-paced, and personable environment. Support Breck students, parents, alumni, and staff in the college selection and application process, ensuring that student college application materials are properly completed and sent to colleges in a timely manner. Serve as point-person for visitors and college representatives. 

Essential Duties and Responsibilities

40% College Application Process

  • Support students and parents through the college application process         
  • Coordinate processes for testing, accommodations, and applications
  • Coordinate College Counseling communications
  • Maintain Naviance database

40% Administrative Support for College Counseling Office

  • Assist counselors, working closely with Director on office operations
  • Maintain office calendars
  • Manage data, prepare reports and presentations
  • Maintain student files
  • Monitor and reconcile monthly department budget reports
  • Process mail

20% Other    

  • Schedule and coordinate college representative visits
  • Coordinate and assist with special events
  • Liaison with other departments
  • Process requested documents

Education and/or experience

Minimum two-year degree, four-year preferred (commensurate work experience)


  • Provide a warm and courteous environment
  • Strong communication and organizational skills
  • Highly organized and detail-oriented; able to maintain confidentiality
  • Demonstrated ability to work in a fast paced environment with frequent interruptions while still completing tasks in a timely fashion
  • Proficiency with Microsoft office, managing databases and Google Apps
